End-of-day admin: the 15-minute review routine
Agentric Team ·
The difference between businesses that run on systems and ones that run on stress is usually a daily ritual. For an AI-answered business, the right ritual is 15 minutes — here's the routine.
The 15-minute review
Minutes 0–5: The enquiry queue. Open the dashboard → enquiries needing action. Each one is a call the AI couldn't fully resolve — callback requests, complaints flagged urgent, odd questions. Action the ones that need it: fire off texts, schedule callbacks, delete the spam.
Minutes 5–10: Tomorrow's diary. Scan what got booked — jobs, times, any travel gaps that need rearranging. Check the notifications for anything the AI flagged unusual.
Minutes 10–15: The knowledge tune (3x a week). Skim a few transcripts — especially any where the assistant said "I'm not sure". Add the answer to the knowledge base. This is how the assistant compounds: every gap you close stays closed.
What you're looking for
- Escalations needing a human ring — do them first, they're the relationship calls.
- Bookings that need prep — quotes requiring measurements, jobs needing equipment.
- The recurring question — if three callers asked the same thing this week, it's a missing FAQ.
- The friction point — anywhere callers got confused is a knowledge gap.
Why 15 minutes is enough
The AI did the triage — you're only seeing what actually needs you. The queue is pre-qualified, pre-structured, pre-summarised; your job is deciding, not digging.
The compound effect
The routine isn't just admin — it's how the system learns. Each week's review closes knowledge gaps, which reduces next week's escalations, which shortens the review. Six weeks in, the 15 minutes is mostly just confirming everything ran fine.
