How AI voice agents actually work

Agentric Team ·

An AI voice call feels like magic but is really a fast loop between four components. Understanding the pipeline explains both what voice agents are good at and why they occasionally stumble.

The pipeline, step by step

1. Speech-to-text (listening). The caller's audio is transcribed in near-real-time by a speech recognition model tuned for phone-quality audio — handling accents, background noise, "umm"s.

2. The language model (thinking). The transcript goes to an LLM with a system prompt containing everything about your business: services, prices, hours, FAQs, rules ("never claim to be human", "keep replies short"), plus memory of the caller's previous conversations. The model decides what to say — or which tool to call.

3. Tools (doing). When the model needs to act, it calls a tool: check_availability queries your calendar, create_booking writes the appointment, capture_lead files the enquiry, request_handoff transfers to your mobile. Tool results come back into the conversation so the model can confirm them naturally ("booked — Thursday at 10am").

4. Text-to-speech (speaking). The model's reply becomes natural-sounding audio played to the caller. Modern TTS handles pace, emphasis and regional-appropriate voices.

Then it loops — listen, think, act, speak — until the call ends.

Why latency is the hard part

Conversational gaps over ~1 second feel unnatural on the phone. Everything in the pipeline has to be fast: streaming transcription, a quick model, streaming synthesis. This is why dedicated voice-agent infrastructure (Realtime-style APIs) exists, and why "just wire ChatGPT to a phone line" produces awkward pauses.

The guardrails that matter

  • AI disclosure at call start — transparency isn't optional.
  • Tool discipline — the model may only book real, checked slots, never invent them.
  • Fallbacks — silence → reprompt → voicemail; confusion → human handoff.
  • Recording + transcripts — every call reviewable.

What this means for you

You don't need to understand the plumbing — you need to know that the "brain" answering calls is the same one answering web chats, reading the same knowledge you wrote in plain English, and bounded by rules you control.
