Managing your diary when the phone never stops
Agentric Team ·
Every tradesperson knows the cycle: phone rings mid-job → can't answer → call back later → slot's gone → rebook → repeat. Diary chaos isn't a time-management failure — it's an interruption problem. Fixing the phone fixes the diary.
Why the diary breaks
The mechanics are familiar: calls arrive during jobs; bookings get made in hurried callbacks from memory; travel time gets ignored; double-bookings happen; the diary is a lagging record of commitments you hope you can keep.
The system that survives
1. Let the phone book against the real diary. When the AI checks live availability and books into it, your diary becomes the source of truth — not your memory.
2. Honest durations. If a job is 45 minutes of work plus 20 minutes of travel, the bookable duration is 65. Durations that include reality produce days that fit.
3. Buffer zones. Set lead time and slot length to create natural breathing room — packed diaries break on the first overrun.
4. Time-block the admin. The diary holds work; admin needs its own slots — a daily 15-minute "desk block" for reviewing the enquiry queue is the habit that keeps the whole machine running.
5. Trust the record. If it's not in the diary, it doesn't exist — and if it is in the diary, don't double-book it in your head.
The role of Google Calendar sync
Connecting the real calendar (which includes personal appointments — school run, dentist) means the assistant never books over your life. The honest diary — all of it, not just jobs — is what makes automatic booking safe.
The payoff
A diary that's actually accurate is a business that runs on rails: the day's shape is known in advance, travel is planned, nothing's forgotten, and the phone enriches the diary instead of wrecking it.
