What an AI receptionist can do (and what it can't)

Agentric Team ·

AI receptionists are genuinely impressive — and genuinely limited. Businesses that get the best results understand both sides before going live.

What it's genuinely good at

Answering instantly, always. First ring, 3am Christmas morning, doesn't matter. The core value proposition.

FAQ handling. Hours, prices, service areas, "do you do X", parking, policies — answered perfectly every time, in your tone of voice.

Booking against real availability. Checks the diary, offers actual slots, writes confirmed events, avoids double-booking. This is the feature that pays for itself.

Structured intake. Name, contact details, what they need, urgency — captured cleanly every time, no scribbled notes.

Triage and routing. Emergency vs routine, new enquiry vs existing customer, "transfer me" → your mobile.

Consistency. The 200th caller of the week gets the same patience and accuracy as the first. No bad days, no rushed Fridays.

Memory. Returning callers are recognised by number; a customer who rang Tuesday and chats Thursday gets continuity.

Where it can't (and shouldn't) replace a human

Skilled judgement. It can't diagnose the boiler over the phone, advise on tax law, or assess clinical need. It gathers information for the person who can.

Emotional situations. A caller in tears about a bereavement needs a human — good systems detect distress or frustration and hand off.

Negotiation and nuance. "Can you squeeze me in Friday, I'll make it worth your while" — escalate.

Anything outside the knowledge base. It shouldn't guess — it should capture and promise a callback.

Relationship repair. Unhappy customers need a human apology with authority to fix things.

The winning pattern

The businesses that thrive with AI reception treat it like an excellent junior receptionist: give it complete, accurate knowledge; set clear escalation rules; review its transcripts weekly at first; trust it with the routine (which is 80%+ of calls) and keep humans for the exceptions. That's not a compromise — it's the design.
