What is an AI receptionist? A plain-English guide
Agentric Team ·
An AI receptionist is software that answers your phone calls and website chats, talks to customers in natural language, answers their questions about your business, and can take actions — like booking an appointment into your calendar.
Think of it as a competent front-desk assistant that knows your business by heart, never sleeps, and costs a fraction of a salary.
What it actually does on a call
A customer rings your number. Instead of voicemail, a voice answers in a second or two: "Thanks for calling Hartley Heating — you're speaking with our AI assistant." From there it:
- Answers questions using the knowledge you gave it — hours, prices, services, policies.
- Asks the triage questions you'd ask ("Is the boiler completely off, or still running?").
- Books appointments against your real calendar availability.
- Captures names, numbers and details for anything it can't resolve.
- Transfers to a human or takes a message when the caller needs a person.
On your website, the same assistant lives in a chat widget — same knowledge, same booking tools, same memory.
What makes it different from a chatbot
Traditional chatbots are scripted trees — press 1, choose A, dead ends everywhere. An AI receptionist uses a large language model: it understands free-form questions, holds a real conversation, and can call tools (check the diary, create a booking, take a message) in the middle of talking.
What it doesn't do
- It doesn't pretend to be human — good implementations disclose AI upfront, and UK transparency expectations effectively require it.
- It doesn't improvise facts — it answers from your knowledge base and says "let me have the team confirm" rather than guessing.
- It doesn't replace skilled judgement — it's a receptionist, not a tradesperson, solicitor or clinician.
- It doesn't do cold calling — on Agentric it handles inbound only.
Who it's for
Anyone whose work means they can't always answer: trades on the tools, salon owners mid-appointment, small professional firms whose fee-earners are billable elsewhere. If your customers call you and you can't always pick up, that's the gap it fills.
