Why customers don't leave voicemail — and what to do instead

Agentric Team ·

Ask a business owner how they handle calls they can't take and the answer is usually "voicemail". Ask their customers and you'll find the truth: voicemail is where enquiries go to die.

Why callers bail

People calling a local business are typically mid-need: the boiler's broken, they want a haircut this week, they need an accountant before the deadline. A voicemail greeting fails them in three specific ways:

  • It promises nothing. "Leave a message" doesn't say when — or whether — anyone will respond. An answered call, even by an assistant, promises action.
  • It demands effort. Callers must compose a coherent spoken summary of their problem, with name and number, on the spot. Many are driving, walking or at work.
  • It feels like a dead end. Research into consumer calling behaviour has consistently found that most callers sent to voicemail hang up — figures around 80% are commonly cited. Whether the true number is 60% or 85%, a majority of your unanswered callers simply disappear.

Younger callers barely use voicemail at all. For a growing share of the population, voicemail isn't a fallback — it's an exit.

The callback illusion

"We'll call them back" has two problems. First, you don't know who called — the number you see is a phone, not a person, and ringing back an unexplained missed call gets ignored or screened out as spam. Second, timing: the caller needs an answer now. By the time you call back at 6pm, they've already booked someone else.

What actually works

  1. Answer every call. Not "try to" — every call, every hour. This is precisely what AI receptionists exist for: a real answer, a real conversation, and a booking or structured message at the end of it.
  2. Capture, don't defer. The job of the first contact is to get the caller's name, number and need — then either book them or confirm a callback window.
  3. Give a second channel. Some callers would rather type. A website chat widget that can also book converts the "I hate phone calls" segment.

The businesses growing fastest in local services aren't better at the work — they're better at answering the phone.
